VACANT POSITION – EXECUTIVE ASSISTANT TO THE AMBASSADOR & MINISTER

The Executive Section in the Australian Embassy has a vacancy for the Executive Assistant to the Ambassador and Minister. The successful applicant will be required to work as part of a small team under the supervision of the Minister and Deputy Head of Mission.


The position will be a Broadband 3 level (KRW 43,817,760 – KRW 57,132,000 per annum). The duties of the position and selection criteria are set out below. Applications must

Administrative Support
• Provide high-level administrative support to the HOM and
DHOM, including management of their daily programs and
appointments, travel, correspondence and telephone contacts
• Maintain the HOM and DHOM diaries
• Maintain the HOM/DHOM contact data-base
• Arrangements for meetings and appointments, including for
high-level visitors to Korea
• Arrangements for representational activities, including
acquittals
• Traveling arrangements in liaison with the Corporate and
Consular Services section
• Other administrative tasks as directed


Liaison and Protocol
• High-level liaison between the embassy and Korean and other government and private sector organisations
• Advice and assistance with official protocol arrangements for
HOM
• Undertake research tasks as required
• Visit arrangements for appointments and programs to support
official visits from/to Australia
• Provide high-level translation and interpreting support
• Organisation of representational functions for DHOM and HOM as required


Other
• Sound judgment
• Highly organised and able to meet tight deadlines
• High level of proficiency in English and Korean essential
• High-level secretarial and keyboard skills
• Familiarity with embassy IT applications, including wordprocessing and Excel
• Management of annual PIF and Public Briefings reports for the HOM/DHOM


Selection Criteria
Executive Assistant to the Ambassador & Minister (Deputy Head of Mission)

A. A sound understanding and working knowledge of the operations of a diplomatic mission and the diplomatic corps.
B. Demonstrated high level of organisational skills including providing administrative support to the Ambassador and Minister (Deputy Head of Mission). Management of their daily programs and appointments, travel, correspondence and telephone contacts as well as liaising between the embassy and Korean and other government and private sector organisations.
C. Demonstrated ability to work at a high level with limited supervision to prioritise tasking and manage workflow in a high-pressure environment. The ability to work efficiently and effectively as a member of a small team. The ability to communicate effectively at all levels.
D. A sound understanding, knowledge of information management systems including in-depth knowledge in Microsoft office.
E. A high level of ability with both written and spoken Korean and English including providing translating and interpreting.
